Description

The BioProcess Institute (BPI) is looking for a skilled Administrative Coordinator to undertake a variety of day-to-day office, and support tasks in North Kingstown, RI. You will be an integral part in ensuring that this Engineering and Testing company’s operations run smoothly, and are successful in supporting our clients navigate the complex world of bioprocessing, to ultimately help them deliver better and safer therapeutics.

An excellent administrative coordinator is, above all, an organized and competent professional with exceptional communication skills. You will be comfortable dealing with people, able to carry out administrative duties with accuracy and speed, able to understand some technical topics (or be able to request for help when you are not sure), and be willing to support technical staff where needed.

The goal is to ensure that office and logistical operations are efficient and add maximum value to BPI.

Responsibilities

  1. Reports-Technical Reports are the main product from the company. This position ensures the reports are delivered in an effective manner.
    1. Report compilation and detailed formatting.
    2. Proficient in MS Office, formatting, importing content, security, and encryption.
    3. Photo and video editing.
    4. Project administration to facilitate generation of content and timely reviews.
  2. General Business /Operation Organization-This position ensures the general operations occur with minimal interruption.
    1. Monitor office expenditures and handle all office contracts (rent, service, etc.)
      1. Ensuring day to day supplies are maintained.
      2. Perform basic bookkeeping activities (Purchasing, Accounts Payable)
      3. Maintenance of stock and order points of day-to-day items, office, and general laboratory.
    2. Shipping and Receiving-including sample management (for samples to be tested at BPI and to be shipped off-site for contract laboratory analysis)
    3. Assist in vendor relationship management
    4. Procedures-Maintain, update and establish office workflow procedures and templates to support the operations and ensure maximum efficiency
    5. Office and conference room layout and coordination, including maintaining the general tidiness of the overall office areas
    6. Maintain files and records with effective filing systems, including coordination of server and file archives
  3. Website and Social Media coordination for the business-Update and post items to the company website, LinkedIn, Twitter, and company blog.
  4. Presentations-Coordination of company presentations and training courses
    1. Assemble content from Staff
    2. Organize content into the proper media
    3. Maintain files to support generation of modified presentations to align with business needs
  5. Assist Director in coordination of his activities and schedule
  6. Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
  7. Greet and assist visitors in mature manner when they arrive at the facility

Requirements

  1. Proven experience as coordinator or similar role
  2. Experience in customer service will be a plus
  3. Outstanding knowledge of MS Office, “back-office” and accounting software
  4. Working knowledge of office equipment (e.g. optical scanner)
  5. Excellent communication and interpersonal skills
  6. Organized with the ability to prioritize and multi-task
  7. Reliable with patience and professionalism
  8. Able to learn with interest and energy
  9. Knowledge of basic bookkeeping principles and office management systems and procedures
  10.  Associate’s/College degree or equivalent; BSc/BA in business administration or relevant technical field is a plus.

  1. This position can be PART TIME Assignment for the right candidate. Flexible hours will be determined based on demand and willingness to work.
