JOB SUMMARY:

The Logistics Coordinator is responsible for coordinating outbound/export shipments. This includes preparing shipping documentation, coordinating appointments with the warehouse, scheduling inspections with 3rd party agencies, and communicating details with freight forwarders, shipping agents, and 3rd party warehouses. The Logistics Coordinator handles all outbound documentation in the organization’s SAP system and works closely with the Logistics Supervisor & Export Documentation Specialist to ensure that all customer and partner needs are met on time.

RESPONSIBILITIES AND DUTIES:

 

  • Proactively coordinates all aspects of international export shipments of confirmed orders including inventory management.
  • Schedules outbound pick-ups, in communication with customers, drayage carriers, steamship lines, and freight forwarders.
  • Prepares documentation and shipping instructions for outbound loads in coordination with our external warehouses.
  • Provides weekly outstanding order status in collaboration with sales/ operations planning and finance.
  • Coordinates pre-shipping inspections with our customers and their nominated inspection agencies.
  • Manages all documentation through Edesia’s SAP system in a timely and organized manner – including preparation orders, packing lists, and deliveries.
  • Assures compliance with customs, export, applicable foreign trade/importation laws, and applicable federal transport regulations.
  • Initiate timely invoicing and work closely with the accounting department to ensure billing accuracy
  • Processes freight claims and or customer complaints.
  • Coordinates outbound shipments for domestic products in collaboration with Sales, Production, and Quality.
  • Other duties as assigned by Management.

QUALIFICATIONS:

  • Must be detail-oriented
  • Ability to think critically through multiple-step processes and follow up on several details
  • High ability to handle multiple priorities without losing details
  • Excellent communication, verbal, and written skills
  • Strong Excel skills and some freight software knowledge
  • Self-motivated and ownership of the position
  • Ability to work under time pressures
  • Accustomed to working in a fast-paced, dynamic environment
  • Solid knowledge of MRP/ERP/EDI systems and the ability to recommend/lead the implementation of new ones
  • Willing to take on department tasks as needed

PREFERRED:

  • 4-year degree or equivalent
  • 1 to 3 years’ experience in logistics, trucking, and ocean freight experience

WORKING CONDITIONS:

General office environment; frequently works in internal and external warehouse areas with seasonal temperature fluctuations.
