JOB SUMMARY: The Operations Coordinator is responsible for executing contracts of Edesia’s main customers: United States Agency for International Development (USAID), World Food Programme (WFP), and United Nations International Children’s Emergency Fund (UNICEF). S/he works closely under the direction of the Sales & Operations Planning Manager to execute the coordination of customer demand with production and shipping/logistics to ensure that all customer orders are met on time and in full. S/he will be responsible for preparing bids and managing the submission of tenders to Edesia’s primary customers, in collaboration with internal departments.

RESPONSIBILITIES AND DUTIES:

The Operations Coordinator will work under the direction of the Sales & Operations Planning Manager to coordinate the following:

Customer Relations/Account Management

  • Updating confirmed orders in SAP and allocating inventory to fulfill customer orders
  • Managing the timelines of orders to ensure that they are executed on time according to contractual obligations
  • Analyzing late deliveries and preparing supporting documentation
    • Preparing documentation required for orders in accordance with the specific needs of each customer from solicitation/ tender, to PO, to shipping, to invoicing, utilizing the SAP platform
    • Managing documentation of customer complaints
    • Monitoring aging stock

Bid/Solicitation Management

  • Managing the submission of all standard tenders, solicitations and bids to customers including: UNICEF, WFP, and USAID. Being well versed in all of the web-based systems involved in this process.
  • Coordinating the preparation of tenders for long term contracts, gathering information from internal departments as necessary (production, quality, maintenance, procurement, shipping, R&D)
  • Maintaining up to date documentation for annual submissions of questionnaires for customers

Production Planning

  • Communicating weekly production goals per product to internal departments: production, quality, maintenance, procurement, shipping)
  • Tracking specialized ingredients and packaging and/or retiring materials to coordinate their use in production
  • Communicate weekly production goals and monitor accuracy of production planning, as directed by the Sales & Operations Planning Manager
  • Communicating formulations for products including materials and packaging requirements
  • Monitoring inventory to confirm fulfillment of orders
  • Tracking product disposition: monitoring on-hold items and confirming timely quality release of products

Packaging

  • Managing requested changes in packaging (film and boxes) with an external design agency
  • Managing proof of artwork and live documents
  • Implementing changes of artwork with film and box suppliers
    • Tracking changes internally for past and future modifications of artwork Other
      • Attending domestic and international meetings, trainings, conferences and events as opportunities arise.

QUALIFICATIONS:

  • Bachelors in Business Management, Supply Chain Management, Operations Management, or related field or equivalent experience required.
  • Master’s Degree preferred.
  • Minimum of 3-5 years’ equivalent experience in roles involving customer relations management, planning, or forecasting is required.
  • Must be detail-oriented with excellent organizational skills and must have excellent writing and verbal skills.
  • Must be proficient at planning and organizing with experience in data entry and processing with strong analytical skills.
  • Ability to take initiative, consistently meet deadlines, communicate effectively and develop collaborative partnerships is required.
  • Possess the ability to work independently while keeping supervisor apprised of issues, problems, opportunities and progress and ability to work collaboratively with his/her team.
  • Ability to effectively manage multiple projects, tasks and deadlines is required.
  • Previous experience in manufacturing is preferred.
  • Experience with inventory management software (SAP) is preferred.

WORKING CONDITIONS:

General office environment; occasionally visits production area. High utilization of office equipment, phone, computer, etc.

Must be willing to travel up to 15% of the time.
