JOB SUMMARY:

Working closely under the direction of the Sales & Operations Planning Manager, the Operations Manager will be responsible for coordinating Edesia’s response to and execution of both humanitarian and commercial contracts. This position will play a key role in ensuring that customer orders are fulfilled on time, in full. They must develop an in-depth understanding of Edesia’s production flow and internal functions, product specifications, and customer requirements. This role will work closely in coordination with Quality, Production, Inventory/Procurement, and Logistics.

RESPONSIBILITIES AND DUTIES:

The Operations Manager will be responsible for the following:
Customer Relations/Account
  • Managing the timelines of orders to ensure that they are executed on time according to contractual obligations and communicating necessary information internally and externally
  • Establishing deadlines for internal departments at each stage of the order process to ensure that overall timelines for orders are met
  • Processing confirmed orders in SAP and matching production and inventory levels.
  • Fully understanding customer requirements, product and packaging specifications, and communicating these to internal teams
  • Analyzing customer complaints and late deliveries and preparing response to customers
  • Preparing documentation required for orders in accordance with the specific needs of each customer from solicitation/ tender, to PO, to shipping, to invoicing, utilizing the SAP platform
  • Monitoring production output and aging stock to ensure that customer orders and inventory stock levels are fulfilled
  • Maintaining communication and relationships with key customer stakeholders
Bid/Solicitation
  • Preparing the submission of all standard tenders, solicitations and bids to customers including: UNICEF, WFP, and USAID. Being well versed in all of the web-based systems involved in this process.
  • Gathering information from internal departments as necessary (production, quality, maintenance, procurement, shipping, R&D) to prepare tenders and long-term contracts.
  • Maintaining up to date documentation for annual submission of questionnaires for customers.
Production Planning
  • Maintain a production calendar for plant operations and communicate weekly and daily production goals by plant and product to internal departments: Production, Quality, Maintenance, Procurement, Shipping
  • Communicating formulations for products specifying materials and packaging requirements to all operational departments
  • Tracking specialized ingredients and packaging and/or retiring materials to coordinate their use in production
  • Evaluating the accuracy of production planning, as directed by the Sales & Operations Planning Manager
  • Tracking product disposition: monitoring on-hold items and confirming timely quality release of products
  • Measure the accuracy of Edesia’s annual forecast by monitoring customer orders throughout the year.

QUALIFICATIONS:

  • Bachelors in Business Management, Supply Chain Management, Operations Management, or related field or equivalent experience required.
  • Master’s Degree preferred.
  • Minimum of 3-5 years’ equivalent experience in roles involving Supply Chain Management, Operations Management, Customer Relations Management, Demand Planning, or Supply Planning is required.
  • Must be proficient at planning and organizing with experience in data entry and processing with strong analytical skills.
  • Must be detail-oriented with excellent organizational skills.
  • Must have excellent writing and verbal skills.
  • Must demonstrate an ability to take initiative, consistently meet deadlines, communicate effectively and develop collaborative partnerships.
  • Should possess the ability to work independently while keeping supervisor apprised of issues, problems, opportunities and progress and ability to work collaboratively with his/her team.
  • Ability to effectively manage multiple projects, tasks and deadlines is required.
  • Previous experience in manufacturing is preferred.
  • Experience with inventory management software (SAP) is preferred.

WORKING CONDITIONS:

General office environment*; occasionally visits production area. High utilization of office equipment, phone, computer, fax, etc. Requires domestic and international travel approximately 20% of the time.
